Axiom Board Group

Last updated: June 2025

Introduction

Axiom Board Group provides custom AI agents that businesses embed on their websites. This Privacy Policy explains what information we collect, why we collect it, how we use it, and the choices you have. It applies to our marketing website, our client dashboard, and the AI Agent widget we deploy on client websites.

Information We Collect

Customer account information: business name, contact name, email address, phone number, billing details processed by Stripe, and the business details you provide in the setup questionnaire such as services, pricing, hours, FAQs, and tone.

Visitor conversation data: when a visitor interacts with an AI Agent on a client website, we process the messages exchanged and any contact details the visitor chooses to provide, such as name, email address, phone number, and stated interest.

Technical and usage data: IP address, browser type, device type, pages viewed, referring URL, and timestamps. We collect this through server logs and, where consent is given, analytics cookies.

How We Use Your Information

We use information to deliver the service: to train, test, score, launch, and improve your AI Agent, to route captured leads to you, to provide the client dashboard and live chat inbox, to process subscription payments, to provide customer support, to send transactional and service-related messages, to detect abuse and secure our systems, and to comply with legal obligations.

SMS and Text Message Communications

Axiom Board Group may send transactional and service-related SMS messages regarding your account, setup, and AI Agent subscription. Message and data rates may apply. Message frequency varies. You can reply STOP at any time to opt out of further messages, and you can reply HELP for help. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. SMS consent is not required to purchase our services.

Cookies and Tracking Technologies

We use strictly necessary cookies to operate the site. Analytics and advertising technologies, including Google Analytics, Google Ads conversion tracking, and the Meta Pixel, are loaded only after you accept cookies through our consent banner. If you decline, or if your browser sends a Global Privacy Control signal, we do not load those scripts. You can change your choice at any time by clearing your browser storage for this site.

How We Share Your Information

Axiom Board Group does not sell personal information and does not share personal information for monetary consideration. We do not share personal information with third parties for their own marketing purposes. We share information only with service providers who process it on our behalf, such as payment processing through Stripe, hosting and infrastructure providers, AI model providers used to power agent responses, and analytics providers where you have consented. We may also disclose information when required by law or to protect our rights and the safety of others.

Data Retention

We retain account information for as long as your subscription is active and for a reasonable period afterward to meet legal, accounting, and dispute-resolution requirements. Conversation logs and captured leads are retained for the life of the account and are deleted on request, subject to any records we must keep by law.

Your Rights

Depending on where you live, you may have the right to access the personal information we hold about you, to request correction or deletion, to request a copy in a portable format, to opt out of marketing communications, and to withdraw consent for cookies. To exercise any of these rights, email cody@axiomboardgroup.com.

Children's Privacy

Our services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If we learn we have collected such information, we will delete it promptly.

Your California Privacy Rights (CCPA)

If you are a California resident, you have the right to know what categories and specific pieces of personal information we have collected about you, the sources of that information, the business purpose for collecting it, and the categories of third parties with whom it is shared.

You have the right to request deletion of the personal information we have collected from you, subject to exceptions where we must keep information to complete a transaction, detect security incidents, or comply with a legal obligation.

You have the right to request correction of inaccurate personal information that we maintain about you.

You have the right to opt out of the sale or sharing of your personal information. Axiom Board Group does not sell or share personal information for monetary consideration and does not share personal information with third parties for cross-context behavioral advertising outside of the consent-gated analytics described above. Declining cookies in our banner, or browsing with Global Privacy Control enabled, stops all optional tracking.

You have the right to non-discrimination. We will not deny you services, charge you a different price, or provide a different level of quality because you exercised a privacy right.

To submit a request, email cody@axiomboardgroup.com with the subject line "California Privacy Request". We may need to verify your identity before acting on your request. We will respond to verifiable consumer requests within 45 days. An authorized agent may submit a request on your behalf with written permission.

Changes to This Policy

We may update this Privacy Policy as our services and legal obligations change. The effective date at the top of this page reflects the most recent revision. Material changes will be communicated to active clients by email.
